When working with Ultra High Net Worth clientele — patrimony above $30 million — expectations regarding privacy, confidentiality, and legal protection aren't a whim. They are fundamental requirements that influence supplier selection before the price conversation even begins.
A private events industry operator without adequate legal and operational tools to manage these expectations cannot access this segment — regardless of the quality of their work.
UHNW families — major entrepreneurs, heirs to significant patrimonies, high-profile personalities — live under a visibility pressure that is hard to imagine for those who don't belong to this world. The media is interested in them. Commercial competitors gather information about them. Personal security threats are real for many of these individuals.
A private event — a wedding, an anniversary, a celebration — is for these families a moment when they want to lower their guard, celebrate with loved ones, be ordinary people. If they know that photos of their event will appear on the wedding planner's Instagram the next day, or that the catering staff will talk about the event with their friends, they don't feel safe.
The result: they will not give the assignment to anyone who can't guarantee confidentiality. Or they will give the assignment but remain tense and defensive throughout the event — which is the opposite of what they want.
The NDA — Non-Disclosure Agreement — is the standard legal tool for managing confidentiality in the UHNW segment. It's a contract that binds all parties involved not to disclose information about the event, the clients, or the circumstances.
All collaborators and suppliers involved in the event: operational staff, photographers, the videomaker, the audio-video service, catering, transportation, venue staff, any third-party suppliers. No exceptions.
The clients' identity. Event details (date, location, number of guests, budget). Images and videos produced (no use without explicit authorization). Conversations and information learned during the work. Personal data of guests.
Typically 2 to 5 years for the duration of confidentiality. Jurisdiction must be specified — for international clients, it's important to understand which law applies. For EU clients, GDPR already imposes specific obligations on personal data protection that must be respected regardless of the NDA.
Beyond the legal NDA, there are operational protocols that must be implemented to ensure confidentiality in practice.
For the most confidential events, common practice requires that all operational staff not use their personal phones during the event. Some UHNW clients require phones to be deposited at the entrance. This isn't negotiable — and must be communicated clearly to staff before the event.
Guest list, entrance control, restricted areas with limited access. In many cases, the client brings their own security manager who coordinates with the event's — the wedding planner or venue manager must be able to work in an integrated way with this team.
All images and videos produced during the event belong to the client — not to the photographer, not to the wedding planner, not to the venue. Use for portfolio, social media, or PR requires explicit and specific written authorization (which images, on which channels, for how long). Nothing is published without this authorization.
When working with international clientele, the contract must be adequate to the complexity of the situation. A standard contract in Italian, with clauses designed for the domestic market, is not sufficient.
Contracts with international clients must be drafted at minimum in English, or bilingually in Italian-English. A contract presented only in Italian to an American or British client is already a negative signal of professionalism.
They must be very clear and detailed: what happens if the client cancels, at what percentage and with what notice; what happens if the supplier cancels; what happens in case of force majeure (pandemic, natural events, geopolitical crises). The 2020 pandemic taught the entire industry that these clauses aren't abstract.
IBAN and international bank transfer are the standard. Currency conversion fees must be specified. Payment timing (deposit at signing, progress payments, final balance upon event completion) must be crystal clear. In some markets — particularly the Middle East — commercial practice involves partial or deferred payments that must be negotiated and formalized.
Building these tools — standard NDA, international contract, operational protocols — is an investment of time and legal consulting that has a very concrete return: it opens access to a clientele segment that remains inaccessible without these tools. And it communicates, even before signing anything, that you are a professional at the level of that segment of the market.
