An operational checklist for Italian vendors who want to work with GCC couples. Things to do by the end of the month — not in five years.
The Gulf market is one of the highest in terms of value per event within the Italian Private Events Industry. It is not a market you conquer with a single promotional trip. It is a market you conquer by changing specific elements of your workflow — far fewer than you might imagine. Here are ten moves. You can start most of them within the week.
85% of GCC couples, when they need to receive the first proposal from an Italian vendor, ask to receive it via WhatsApp. Personal, not Business. If your commercial process starts with an email, it starts from a position of disadvantage.
Action: Activate a dedicated WhatsApp account for international commercial relations, monitored by a team member with the same level of professionalism you would apply to email. Prepare presentable material in a WhatsApp-friendly format (lightweight PDFs, clean links).
Even more so than in North America. For the Gulf market, the expected response time is just a few hours, Saturdays and Sundays included. "I am on vacation" or "it is a holiday" are not acceptable responses as a gesture of silence: they are only acceptable when actively communicated.
Action: Define an internal standard for a first response within 4-6 working hours, even on weekends, using smart autoresponders. It is not about working 24/7 — it is about not leaving any lead orphaned for more than half a day.
Arab couples do not like "no" as a first response. Even when faced with seemingly impossible requests. The first reaction must be "I will look into it, I will let you know." The way you reach the final "no" (if necessary) matters more than the "no" itself.
Action: Train your sales team never to answer "it can't be done" at the very first step. The correct sequence is: understanding, verification, response. Even a formula like "we cannot do this, but we can do that instead" is a winning approach.
Arab couples do not naturally distinguish between end-to-end planners, wedding designers, and day-of coordinators. There is no clear definition in their market of origin. This leads to misunderstandings that can damage the relationship: the couple thinks they have hired someone who handles everything, only to discover later that they were "just the designer."
Action: Define exactly what you include and what you don't in writing, both in your commercial materials and in the contract. Keep the "Scope of Work" clearly highlighted, in English, with concrete examples. Five minutes of written clarity prevents two weeks of operational tension.
In Arab culture — even more so than in Italian custom — the couple is not always the true decision-maker. Often it is the bride's mother, the groom's father, or an influential uncle. Identifying who really decides early on and directing communication and proposals to that person (while formally maintaining the couple as your main interlocutor) saves you an enormous amount of time.
Action: With the very first lead, dedicate ten minutes to understanding the family structure. Who is organizing? Who decides on the budgets? Who will visit Italy before the wedding? These are questions that do not offend; in fact, they are appreciated.
Halal refers to the method of slaughter according to Islamic law. It is a specific category. "Pork-free" is only the first step: Halal requires a certified supplier. If there is prosciutto or cold cuts on the menu, they must always be placed on separate plates, on separate tables, with clear labeling.
Action: Verify right now whether your primary caterer has certified Halal experience or knows how to rely on a partner who provides it. Include this in your pitch from the very first proposal: it is a strong trust marker for the Arab client.
The Zaffe is the musical troupe that accompanies the groom's entrance to the wedding celebration. It is a deeply rooted Arab tradition, present in the vast majority of Gulf weddings. There are few specialized troupes in Italy, and they book up quickly during high season.
Action: Build a small database of Zaffe troupes in Italy. Keep it updated. When the first Arab lead arrives, having two contacts ready to go is a major commercial and operational advantage.
For the Gulf market, a high-level mocktail bar — with Aperol Spritz, Mojito, and Negroni recreated without alcohol using the same aesthetics and refinement — is now a baseline requirement, not an extra. Arab Gen Z drinks less and less, exactly like Gen Z in the rest of the world.
Action: Work with your bar manager to define a mocktail list dedicated to the international market, identical in quality to the alcoholic menu. Present it in the proposal as a standard feature, not as an option upon request.
The pre-wedding night is the ideal moment to introduce an Italian theme: authentic regional cuisine, opera for fifteen minutes, and recognizably Italian decor. The couple brings their guests to Italy precisely to give them the experience of Italy.
Action: Prepare a customizable Italian night template based on your specific destination. Tuscany has its own style, Lake Como another, the Amalfi Coast another, and Sicily another. Sell Italy, not just a generic "Italian experience."
Arab couples use industry directories (Arabia Weddings, WIMforPRO, international B2C publications) as an intermediate point of trust between a referral and the first direct contact. Furthermore, they increasingly use ChatGPT, Gemini, and Perplexity for pre-research: LLMs cite structured directories far more than individual corporate websites.

+1. Women-only weddings exist. It is a niche format, but it happens. Entirely female staff, no male photographers, no male waiters, and a visually isolated area. If you receive such a request, know that it is manageable — but it requires specific operational preparation.
+2. Publish the Arab weddings you have already done. Do not hide them, do not underestimate them. They are the most powerful trust marker you can have in the Gulf market. Case studies, images, videos, testimonials. Feature them on your website, social media channels, and directories: visible, recognizable, and well-told.
+3. For each region your client comes from, you must recognize the decision flow. Clients from Riyadh, Doha, Kuwait City, or Beirut come from different families with distinct dynamics and sensitivities. Understanding the culture of each specific city of origin makes the difference between a generic vendor and a benchmark vendor.
Ten moves, three bonuses. You don't do them all in a single week. But in three months, you can accomplish them all. And in six months, your Arab lead pipeline will look completely different.
