There's a widespread misconception in how many private events industry operators think about acquiring international clientele. The misconception is this: it's enough to be findable — a beautiful website, a strong Instagram presence, perhaps a few features in international magazines — and the clients will come.

The reality of the international HNWI market works differently. High-value clients rarely search for their suppliers themselves. They rely on trusted intermediaries — people and organizations who know the luxury services market deeply and have the credibility to make recommendations.

Understanding who these intermediaries are, where they operate, and how to build relationships with them is the most effective — and often the most direct — way to access international HNWI clientele.

International Luxury Wedding Planners

American, British, French, and Australian luxury wedding planners specialized in destination weddings in Italy are the first and most important gateway to North American and Northern European clientele.

These professionals typically work with clients whose wedding budgets exceed $100,000. They know the Italian market well — they've often visited venues dozens of times, they have a network of trusted suppliers, and they understand the operational specifics of every destination. Their recommendation is worth as much as — often more than — any direct marketing activity.

How to approach them: international wedding planner associations (IWA — International Wedding Association, ILEA — International Live Events Association) organize fairs, educational trips, and networking events worth attending. Building the relationship is a slow process — it takes at least 2-3 interactions before a planner adds you to their list of trusted recommendations.

Family Offices

Family offices are structures that manage the wealth of ultra-affluent families (typically in the UHNW segment, above $30 million). Beyond financial management, they often coordinate the family's lifestyle needs — travel, events, real estate, art.

A family office that includes a Tuscan villa or a high-level Italian wedding planner in its trusted-supplier list is an extremely valuable channel. It doesn't bring one client — it potentially brings an entire family, with needs that recur over time.

How to approach them: family offices are highly selective in their relationships. The main route is through referrals from other trusted intermediaries — a luxury agency concierge, a luxury travel advisor, a wealth-management lawyer. Participating in wealth management events — particularly the annual conferences organized by industry associations or trade media — is another access point.

Luxury Travel Consortia

Luxury travel consortia are networks of travel agencies specialized in the luxury segment that share resources, client databases, and quality standards. The most important globally are Virtuoso (US-based, with a network of 2,200+ agencies in 100 countries), Signature Travel Group, and Ensemble Travel Group.

For the Italian private events industry, joining the "preferred suppliers" list of these consortia is one of the most important commercial objectives. Agents in these networks actively recommend venues and suppliers to their HNWI clients. The certification process for becoming a preferred supplier requires meeting precise standards of quality, process, and communication — but the commercial return is proportionally high.

Luxury Concierges

Often underestimated as a commercial channel, luxury concierges in major international cities — London, New York, Dubai, Mumbai, Singapore — are privileged points of contact with traveling HNWI clientele.

An international high-spending client doesn't go directly to the venue. They almost always go through a luxury travel advisor or a specialized boutique agency. That's where the shortlist is built.

If, the moment a client expresses the intention to organize a wedding in Italy, the professional already has 2-3 venues in mind with whom they have a direct relationship — personally visited, understood in detail, with reliable contacts — the proposal stops being exploratory. It is already oriented.

Building relationships with concierges at agencies or travel advisors in the key cities of Tier 1 markets — through targeted meetings, educational trips, and venue discovery moments — is a commercial investment often underestimated, yet extremely effective. It works upstream of demand, at the very point where decisions are actually formed.
